How do you handle negative reviews?
Negative reviews (1–3 stars) NEVER auto-publish — they always route to you for approval first. The AI drafts a response that follows the de-escalation playbook: acknowledge the customer's experience, avoid admitting fault publicly, invite them to take the conversation private (phone or email), and end on a professional note. You can edit, approve, or reject. For reviews that violate Google's policy (off-topic, conflicts of interest, hate speech, spam) we'll also flag them for removal request.
Will the responses sound like me?
Yes — that's what brand-voice tuning is for. We start with samples of how you currently respond (or how you talk about your business in general), build a voice profile, and have you review the first 10 sample drafts before going live. After the first week or two, the calibration is dialed in. You can also override the voice anytime by editing a draft before approval.
What's the response time guarantee?
We guarantee 24-hour response time for any review you've approved or that's on auto-publish. In practice most positive reviews go out within 2–4 hours of being posted; negative reviews wait for your approval (you set how often you check the approval queue — most clients do once daily).
What if I get a fake or spam review?
We monitor for policy violations and flag suspected fake reviews automatically. For obvious violations (spam, off-topic, conflict of interest, prohibited content) we'll file a Google removal request on your behalf. For genuinely subjective negative reviews from real customers, removal isn't available — but a thoughtful response is worth more than removal would be anyway.
Can I add platforms beyond Google, Yelp, and Facebook?
Yes — TripAdvisor, Houzz, Angi, BBB, industry-specific review sites, etc. Each additional platform adds $25–$50/mo depending on review volume. Google is the most important by far for local SEO ranking; the others matter for trust signals to prospects who research before contacting you.
Do you help me get more reviews?
That's a different service — review acquisition (review request workflows, post-job text or email automation, NFC tap cards) — but we can integrate with whatever request system you use. We'll respond to whatever shows up regardless of source. If you want help building a request workflow, ask and we'll quote it separately or fold it into a Local SEO Management subscription.
What if a customer responds to my response?
Threaded conversations on Google reviews aren't common but they happen, especially on negative reviews. The AI flags any new replies for human review (no auto-response on threaded conversations) and we draft a follow-up if appropriate.
How fast can you respond to negative reviews?
Detection is within 1–2 hours of posting. Draft is ready within 4–6 hours. Then it waits for your approval. If you want maximum speed on negative reviews, you can opt for SMS/email alerts that ping you immediately when one is detected so you can approve faster.
Can I see the responses before they go out?
For negative reviews: always — that's the default. For positive reviews: optional. Some clients want to see every response before it publishes; others trust the brand-voice tuning and let positive responses auto-publish. You can change this setting anytime from the dashboard.
What if I don't like the AI's response style?
Tell us — we adjust the brand-voice profile and re-tune. Most clients need 1–2 rounds of feedback in the first month to dial it in; after that the responses feel native. If we can't get the voice right after a few rounds (rare), you can cancel and we refund the unused portion.
